Money questions

How much does business automation or custom software cost in India?

Honestly, any number quoted before understanding your business is meaningless — the range between a focused single-problem system and a full operations platform is enormous.

What we can commit to is the structure. After the free audit you get a written scope broken into phases, with a fixed price for each. You approve one phase at a time and can stop after any of them with something that works.

Do you charge for the initial audit?

No. It takes about an hour and you keep the written output whether or not you work with us. We do it because proposing without it would be guesswork.

Is custom software cheaper than a monthly subscription?

In year one, almost never. The crossover typically arrives between year two and year four, and sooner the more users you add. We will do that arithmetic with you honestly, including the ongoing maintenance cost of owning software, which people tend to leave out.

Are there ongoing costs after the build?

Yes, and we are specific about them upfront: hosting, any third-party services such as WhatsApp conversation charges or AI usage, and an optional support and maintenance arrangement. There are no per-user licence fees on what we build.

Fit and adoption questions

Our team is not technical. Will they actually use it?

This is the single biggest reason automation projects fail, and it is a design problem more than a training problem. We build around how your staff already work, minimise typing, keep things on the phone where that suits the user, and pilot with a small group before rolling out.

We also watch what people work around after go-live, because a workaround tells you exactly where the design was wrong.

We bought software before and it did not work. Why would this be different?

Usually the previous attempt failed for one of three reasons: it was built around someone else's process, it was rolled out all at once, or nobody planned for how staff would actually adopt it.

We would want to understand specifically what happened in your case during the audit — it is genuinely useful information and it shapes how we approach the build.

What size of business do you work with?

Typically fifteen to three hundred people. Below that, off-the-shelf tools with some setup help are usually the better answer and we will say so.

Do you work with businesses outside Agra?

Yes, across India. The audit and most of the build happen remotely, with site visits where the process needs to be seen in person.

Technical and data questions

Do we have to stop using Tally?

No, and we usually recommend you do not. Tally stays for accounting and compliance; we connect our system to it so entries flow automatically rather than being typed twice. See Tally automation.

Who owns the software and the data?

You do. It runs on your server or in your own cloud account, you hold the data, and we hand over source code as part of the contract. We would rather you stay because the work is good than because you are locked in.

Is our business data safe if we use AI?

It depends how the system is built, which is why we make it an explicit decision. For sensitive data we can run models that keep everything inside your own infrastructure. Where we use external AI services, we use business-grade accounts with data retention turned off and we tell you specifically what data goes where.

Will it work with poor internet?

Yes. Anything used in a warehouse, on a factory floor or in the field is built to work offline and sync later. That is a standard requirement in our projects, not an exception.

What happens if we stop working with you?

You take the code, the documentation and the data and continue elsewhere. We will do a handover call with whoever takes over.

AI specifically

AI questions

Will AI replace our staff?

In the MSMEs we have worked with, no. What it removes is retyping, chasing, reconciling and hunting for information. Most owners use that to grow without adding headcount at the same rate rather than to cut the team they have.

Is AI reliable enough for our accounts?

Not on its own, and we do not build it that way. AI reads the document and prepares the entry; a person approves it. That removes most of the typing while keeping your books accurate.

We tried ChatGPT and it did not help much. Why would this?

A chat window helps one person with one task when they remember to use it. Automation means the work happens without anyone remembering — the invoice gets read when it arrives, the follow-up gets drafted when the quote goes cold. The difference is the plumbing.

Do we need AI at all?

Often not, at least not first. A good deal of what gets sold as AI is really a simple rule, and rules are cheaper and more reliable. We will tell you when that is the case.
