Deadlines met, documents collected, hours actually billed

In a service firm the product is your team's time. When work tracking lives in spreadsheets and document chasing lives in WhatsApp, you lose both the time and the billing.

Where service firms lose time and revenue

Document chasing never ends

Your team spends days chasing clients for documents. The same clients, every cycle, with the same reminders typed out by hand.

Deadlines tracked in a spreadsheet

Compliance dates across dozens or hundreds of clients on a sheet one person maintains. A missed deadline is a real cost and a reputational one.

Work status is unclear

Which client's work is at what stage, and who is holding it up, needs a meeting to establish.

Time never gets recorded

Work gets done, time is not logged, and billing ends up based on a rough sense of effort — usually undercharging.

Billing lags the work

Invoices go out late because assembling what was done takes effort, which pushes collection out even further.

Knowledge sits with individuals

When a senior leaves, the detail of dozens of client relationships leaves with them.

What we build

Systems for CA firms, consultants and agencies

📅

Compliance calendar

Every client's recurring obligations tracked with automatic task creation, owner assignment and escalation before a date is at risk.

📋

Work and stage tracking

Every engagement visible by stage, owner and status — so the weekly meeting becomes a review rather than a data-gathering exercise.

⏱

Time recording that happens

Logging time reduced to a tap against an open task, so it actually gets done and billing reflects reality.

🧾

Billing and recovery

Invoices generated from recorded work, sent automatically, with follow-up on outstanding handled by the system.

📚

Client record

Documents, correspondence, past filings and notes in one place, so any team member can pick up a client without a handover meeting.

FAQ

Professional services questions

Will our team actually log their time?

Only if it takes seconds. We build time logging as a single tap against a task that is already open on their screen, not a separate timesheet to fill at week end.

The other thing that helps is showing the team their own numbers — when people see their recorded hours, the habit sticks much better than when it disappears into a manager's report.

Can clients upload documents themselves?

Yes, through a simple client portal or a WhatsApp flow, with the checklist visible to them and automatic reminders for what is still pending. This is usually the single biggest time saving for a practice.

We are a small firm. Is this overkill?

For a firm of three or four people, probably. Start with document collection automation alone — that is where the time goes and it is a small project.

The full practice system makes sense from roughly ten people or a large client count, and we will tell you which side of that line you are on.

Can it integrate with the software we use for filings?

Where those tools allow it, yes. Where they do not, the practice system still handles the tracking, collection and billing layer around them, which is where the time is lost anyway.

How many hours a week does your team spend chasing documents?

Multiply that by your hourly rate. That number is usually enough to justify fixing it.
