LEAD MANAGEMENT & CRM

Every enquiry captured. Every follow-up actually done.

You are probably losing more business to enquiries nobody chased than to competitors who beat your price. This is the cheapest revenue most MSMEs are leaving on the table.

The maths

The leak is bigger than most owners think

Ask a business owner how many enquiries they received last month and most cannot answer. Ask how many were followed up more than once and almost none can. That is not carelessness — it is that enquiries arrive across four channels into different people's phones, and no single place holds them.

Here is what that costs. An enquiry that gets one reply and no follow-up converts at a fraction of the rate of one that gets chased three or four times over two weeks. Most MSME sales teams stop after the first or second attempt, not because they have decided to, but because nobody is tracking which ones are still open.

The money involved is usually larger than any efficiency saving elsewhere in the business, and unlike hiring more salespeople it costs almost nothing to recover. You are not buying more leads; you are stopping the ones you already paid for from going cold.

This is also the fastest-returning system we build. Owners typically see the difference within the first month, because the leads were already there.

Where leads die

The six leaks we find in almost every business

The enquiry lands on a personal phone

A customer messages a salesperson directly. Nobody else knows it exists. If that person is busy, travelling or leaves the company, it is gone.

Everyone thinks someone else replied

An enquiry comes to a shared number. Two people see it, each assumes the other handled it, and the customer waits.

The second follow-up never happens

First reply goes out same day. The customer says ‘will get back’. Nothing is scheduled, so nothing happens.

Quotes go out and vanish

No record of which quotations are still open, how old they are, or which ones need a call today.

You cannot see why you lost

No record of lost reasons means you cannot tell if you are losing on price, delivery, or simply on being slow to respond.

Source is unknown

You spend on Google, Instagram and IndiaMART with no idea which one actually produces paying customers.

What we build

A CRM your sales team will actually update

The main reason CRMs fail in MSMEs is that updating them feels like extra work. We design around that.

👤

One owner per lead

Every enquiry is assigned to a named person immediately by your rules. No enquiry sits in a shared space where everyone assumes someone else has it.

⏰

Follow-up that chases the chaser

The system decides when a follow-up is due, reminds the owner, and escalates to the manager if it is missed. Consistency without nagging.

📝

Quotation tracking

Every quote linked to its lead with value and validity. One screen shows everything open, how old it is, and what is due today.

💬

Full conversation history

Calls, WhatsApp messages and emails against the lead record. Anyone picking it up sees what was said and promised.

📊

Real pipeline visibility

How many enquiries, at what stage, worth how much, and what is stuck. The forecast stops being a feeling.

📣

Source-wise return

Which channel produced how many enquiries, how many converted, and at what value — so marketing spend follows evidence.

❌

Lost-reason capture

A mandatory one-tap reason when a lead is closed lost. After three months you have real data on why you lose.

🔄

Re-engagement of old leads

Leads lost six months ago automatically resurface for a fresh approach. Most businesses never touch this list.

Design principles

Why our CRMs get used when others get abandoned

  • Updating a lead takes seconds on a phone — if it takes a form, it will not happen
  • Data your team did not have to type: calls, messages and enquiries flow in automatically
  • The salesperson gets something useful back — their day's call list, not just a reporting burden
  • Only the fields that will actually be used. We remove more fields than we add
  • Works in the language mix your team speaks
  • Manager sees activity without having to ask for a report
  • No per-user monthly fee that punishes you for growing the team

FAQ

CRM and lead management questions

We tried a CRM before and the team stopped using it. Why would this work?

Because the reason they stopped is usually fixable and usually the same: it asked them to type in data they had already typed elsewhere, and gave them nothing back.

We build so that leads arrive automatically from WhatsApp and calls, updating takes a tap, and the salesperson gets a prepared call list every morning. When the system is doing work for them, they keep it updated. We also deliberately cut the number of fields down to what is actually used.

Can it capture leads from WhatsApp automatically?

Yes, through the official WhatsApp Business Platform. Every incoming message creates or updates a lead record with the full conversation attached, so nothing depends on someone remembering to log it.

See WhatsApp automation.

What about enquiries that come as phone calls?

We can connect a business calling number so incoming calls create a lead entry with the number, time and duration, and the salesperson adds a one-line note afterwards. Missed calls also create a record, which is where a surprising amount of lost business hides.

Can the owner see everything without asking?

That is usually the biggest change for owners. You get a live view of enquiries, stage, value and activity by person, plus a daily summary on WhatsApp. No more asking for a status update and receiving a number someone assembled that morning.

Should we buy a ready CRM instead of building one?

Often yes, and we will tell you when. If your sales process is straightforward, a good off-the-shelf CRM configured properly is the cheaper answer and we will help you set it up.

Building makes sense when your process is unusual — dealer networks with schemes, project sales with long cycles and multiple approvals, or when you need it tightly joined to stock and pricing that lives in your own system.

How many enquiries did you get last month?

If you cannot answer that from a system, you are losing business you have already paid to acquire. The audit will show you how much.
